Privacy Policy
Last updated: 19 October 2026
In short: this website sets no cookies and uses no tracking or analytics. We only receive what you send us in the contact form or by email. Drawings you open in DxViewer stay in your own Nextcloud or SharePoint; DWG files sent to our conversion service are deleted straight after conversion.
1. Who is responsible
The controller for the processing described here is Docuex Ltd, registered in England and Wales under company number 10510167, registered office Innovation Centre, Gallows Hill, Warwick, CV34 6UW, England, trading address 29 Waterloo Place, Leamington Spa, CV32 5LA, Warwickshire, England, telephone +44 1926 732096. We are registered with the Information Commissioner's Office (ICO) under number ZC212455.
For any question about your data, or to use your rights, email [email protected].
2. Visiting this website
Server logs
When you open a page, the web server records technical data: IP address, date and time, the page requested, the browser and the referring page. We need this to deliver the website and to protect it against attacks. The legal basis is our legitimate interest in a secure, working website (Article 6(1)(f) UK GDPR). Logs are deleted after 30 days at the latest, unless we need them to investigate a specific attack.
Cloudflare
The website is delivered through Cloudflare, Inc., which protects it against attacks and speeds up loading. Cloudflare processes your IP address and request data on our behalf for this purpose. Cloudflare may process data in the United States; transfers are covered by the UK Extension to the EU-US Data Privacy Framework and by standard data protection clauses. Legal basis: our legitimate interest in a secure, fast website (Article 6(1)(f)). More: cloudflare.com/privacypolicy.
No cookies, no tracking
We do not use cookies, analytics, advertising or social media plugins. Fonts are served from our own server, so no data goes to font providers.
Live demo
The live demo runs entirely in your browser. A file you drop into it is opened locally and is not uploaded. The viewer may keep a few settings, such as your chosen markup colour, in your browser's local storage. These stay on your device, and you can clear them in your browser settings.
3. Contact form and emails
When you ask for an offer or a trial, we receive your name, company, email address, optionally your phone number, your platform, number of users, the Nextcloud address or SharePoint tenant you give us, and your message. The form sends this to our mailbox by email; it is not stored on the web server. We use it only to answer your request and, if you go ahead, to set up your trial or licence.
To prevent misuse, the form keeps a one-way hashed (unreadable) form of your IP address for one hour to limit the number of requests.
Legal basis: steps you ask for before a contract (Article 6(1)(b)) and our legitimate interest in answering business enquiries (Article 6(1)(f)). We keep enquiries that do not lead to a contract for up to 2 years after our last contact, then delete them.
4. Customers, trials and licences
To run DxViewer licences, trials and the conversion service, we process:
| Data | Purpose | Kept for |
|---|---|---|
| Company name, contact names, email addresses, billing details | Contract, invoices, support | Term of the contract, then 6 years for tax and accounting records |
| Nextcloud server address or SharePoint tenant name, licence key (stored only as a secure hash), trial and licence dates | Checking licences, starting trials automatically | Term of the contract or trial, then up to 12 months |
| Usage counts per Installation, such as the number of conversions or active users | Plan limits, fair use, invoicing | Up to 24 months |
| Conversion log: Installation, file size, time taken, result (no file names or contents) | Running the service, finding errors | Up to 90 days |
Legal basis: performing our contract with you (Article 6(1)(b)), legal obligations for accounting records (Article 6(1)(c)) and our legitimate interest in preventing licence misuse (Article 6(1)(f)).
Your drawings
DxViewer runs inside your own Nextcloud or Microsoft 365 system. Drawings, markups, photos and snag lists are stored there, under your control, not with us. When a DWG file needs converting, your system sends it to our conversion service, which converts it in a temporary folder and deletes it immediately afterwards. For this processing we act as your processor; our data processing agreement is available on request.
5. Who receives data
We do not sell personal data or share it for marketing. Data is only passed to:
- Cloudflare, Inc., for delivering this website (see section 2);
- our hosting and IT service providers, who process data on our behalf under contract;
- an authorised DxViewer partner, if you buy through one, for your licence and support;
- our accountants, tax advisers and authorities, where the law requires it.
Our website, mail and conversion servers are our own, located in the United Kingdom.
6. Your rights
Under UK GDPR, and where it applies EU GDPR, you have the right to:
- get a copy of the personal data we hold about you;
- have incorrect data corrected;
- have data deleted or its use restricted;
- receive data you gave us in a common electronic format;
- object to processing based on our legitimate interests.
Email [email protected] to use these rights. We reply within one month. You can also complain to the Information Commissioner's Office, ico.org.uk, or to the data protection authority in your country. We would appreciate the chance to resolve your concern first.
7. Security
All connections to this website and our services are encrypted (HTTPS). Access to our systems is limited to the people who need it. Licence keys are stored only as secure hashes.
8. Changes
We update this policy when our services or the law change. The date at the top shows the latest version.
